Start with the handoff that wastes the most time

A short brief should show how work moves today, where people re-enter or chase information, and what a better result would look like.

Use one recent case

Choose the last enquiry, booking, order, approval, application, service request, or report that required avoidable follow-up. Explain who received it, where the information was copied, who had to approve it, what the customer could not see, and how the team knew the work was finished.

Name the systems and the source of truth

List the email inboxes, spreadsheets, accounting package, CRM, e-commerce platform, shared drive, older software, and paper steps involved. For each important record—customer, price, order, document, payment, or status—say which system should remain authoritative and who may change it.

Include the Ireland context that matters

Choose a result that can be tested

A useful outcome might be: staff enter the customer once; an approval cannot disappear in email; a member can retrieve the current document; a customer can see request status; or a failed integration creates a visible task instead of silently losing information.

Name who approves the scope, content, data rules, access, acceptance examples, and final release. You do not need every answer at the start, but the unanswered decisions should be visible.

Do not send passwords, API keys, private records, regulated data, production exports, or confidential credentials in the first message.
